This Privacy Policy explains how Guidemeet Private limited, a company registered in Nepal (“GuideMeet,” “we,” “us,” or “our”), collects, uses, discloses, retains and protects personal information when you use GuideMeet.com and related websites, applications, dashboards, messaging tools, Guide subscriptions, Guide Insights and other features we make available collectively as the “Platform.” It also explains your privacy choices and rights. Those rights may vary depending on where you live and which laws apply.
Terms such as Traveler, Guide, Guide Profile, GuideMeet Messages, Inquiry, Consultation, Consultation Request, Service, Service Request, Guide Network and Referral have the meanings given in our Terms of Use.
1. Who Is Responsible for Your Information
Guidemeet Private limited is responsible for determining how and why personal information covered by this Policy is processed, except where another organization independently determines its purposes and means of processing. For example:
- a payment provider may independently process payment and fraud-prevention information under financial or legal obligations;
- a Guide may independently process Traveler information outside GuideMeet when arranging or providing professional services; and
- an external website or service may process information under its own privacy notice.
Privacy contact: legal@guidemeet.com
Registered address: Koteshwar, Kathmandu 44600, Nepal
2. Scope
This Policy applies to:
- Platform visitors;
- Travelers;
- Guides and Guide applicants;
- Guide collaborators;
- Guide subscribers;
- people submitting Inquiries, Consultation Requests, Service Requests, Referrals, reviews, reports or support requests; and
- other people whose personal information is processed through the Platform.
This Policy does not govern a Guide’s independent handling of information outside GuideMeet. Guides acting as independent professionals or businesses are responsible for their own privacy practices and legal compliance. This Policy also does not govern third-party websites, payment services or applications that publish their own privacy notices.
3. Current and Future Features
Some features described in this Policy—including Consultations, Services, Traveler payments, Guide payouts, scheduling, transaction fees and payment-status tracking—may not be available at launch. Information relating to a future feature will be collected only when that feature is enabled and you choose to use it or another lawful basis applies. Where required, GuideMeet will provide additional feature-specific notice or obtain consent before processing information for a materially different purpose.
Until Traveler payment features are expressly enabled, payment processing primarily relates to Guide subscriptions.

Private message content is not public and is not used for public Platform promotion merely because it was sent through GuideMeet Messages. GuideMeet does not routinely read every private conversation. Authorized personnel may access relevant content only when reasonably necessary to respond to a report, address safety, investigate spam, fraud or abuse, provide requested support, enforce Platform rules, comply with law, or act with user permission.

- session, authentication and security logs;
- timestamps and feature interactions;
- cookie identifiers and consent choices;
- errors, diagnostics and performance information; and
- aggregated analytics and attribution information.
GuideMeet does not collect precise GPS location unless a feature clearly requests it and you provide any permission required by law. Our use of cookies and similar technologies is explained in the Cookie Policy.
4.11 Information from other sources
We may receive information from:
- another user submitting an Inquiry, message, Referral, collaboration request, review or report;
- identity, licence, credential or fraud-prevention providers;
- payment processors;
- professional registers and public sources;
- social sign-in or linked-account providers you choose to use;
- hosting, analytics, communication, support and security providers; and
- business partners where you authorize disclosure or law otherwise permits it.
5. Sensitive Personal Information
Some information processed through GuideMeet may be sensitive or require enhanced protection, including:
- government identification documents;
- verification selfies or biometric-comparison data;
- health, medical, disability or accessibility information;
- precise travel plans or locations;
- emergency-contact information;
- financial and payment information;
- religious information that may arise from pilgrimage or spiritual-travel preferences; and
- information about minors traveling with an adult.
GuideMeet will seek to collect sensitive information only where reasonably necessary for a specific feature, safety need, legal obligation or user request. Where required, we will obtain explicit consent or rely on another lawful basis. We will restrict access, apply appropriate safeguards and retain the information only for an approved period. If GuideMeet introduces biometric identity verification, it will provide additional notice and obtain any consent required before collecting or using biometric data.
6. How We Use Information
We may use personal information to:
- create, authenticate, maintain and secure accounts;
- create, review, publish and manage Guide Profiles;
- provide Guide search, filters, comparisons, saves, follows and recommendations;
- operate GuideMeet Messages and Inquiries;
- operate Consultation Requests, Service Requests, scheduling or related features where enabled;
- operate Guide Network connections, Referrals and collaboration;
- process Guide subscriptions, recurring payments, renewals, cancellations, refunds and billing support;
- process Traveler payments or Guide payouts if those features are later enabled;
- verify identity, licences, credentials and eligibility;
- administer verification and trust signals;
- publish public Guide Profiles, Guide Insights, Service listings and eligible reviews;
- process and secure image uploads, which includes storing encrypted originals, stripping sensitive metadata (like GPS and device info) from public copies, and applying platform identifiers;
- calculate profile completion, response, engagement, relevance, trust and visibility signals;
- provide dashboards, analytics, notices, support and account communications;
- detect, investigate and prevent spam, fraud, abuse, unsafe conduct and security incidents;
- moderate content and enforce our Terms and related Platform rules;
- improve, test, troubleshoot and develop Platform features;
- personalize content and Guide discovery;
- provide AI-assisted translation, writing suggestions, reply suggestions, matching and moderation support where enabled;
- send marketing communications where permitted and manage opt-outs;
- comply with tax, accounting, contractual, regulatory and legal obligations; and
- establish, exercise or defend legal claims.
We may aggregate or de-identify information so it no longer reasonably identifies you and use it for analytics, research, safety and Platform improvement.
7. Legal Bases Where Applicable
Where applicable law requires a legal basis, GuideMeet may rely on:
| Processing purpose | Typical legal basis |
|---|---|
| Creating accounts and providing requested Platform features | Performance of a contract or steps requested before entering a contract |
| Operating Messages, Inquiries and user-requested communications | Contract, user request and legitimate interests in providing and securing communication |
| Guide subscriptions, renewals, billing and transaction records | Contract, consent where required, and legal obligations |
| Publishing Guide Profiles, Guide Insights, Services and reviews | Contract, user request, legitimate interests and consent for optional public information where required |
| Verification and fraud prevention | Contract, legitimate interests, legal obligation and explicit consent for sensitive or biometric information where required |
| Safety, moderation, security and abuse prevention | Legitimate interests, legal obligations and protection of users and the Platform |
| Consent-based GuideReferrals | Affirmative consent and requested Platform functionality |
| Optional marketing and non-essential cookies | Consent where required, or another lawful basis where legally permitted |
| Legal, tax, accounting and regulatory records | Legal obligation |
| Disputes and legal claims | Legitimate interests and establishment, exercise or defence of legal claims |
Where processing depends on consent, you may withdraw consent at any time. Withdrawal applies going forward and does not affect processing already completed lawfully. It may prevent us from providing an optional feature requiring that information.
8. Public Information and Visibility
Public information may include:
- Guide Profile details;
- professional photographs and videos;
- selected credentials or verification status;
- trust and visibility signals;
- Guide Insights;
- Service listings where enabled;
- eligible reviews and Guide responses; and
- public engagement information.
When you upload an image for public display, GuideMeet processes it to create optimized public copies. We remove original metadata (such as GPS coordinates, camera serial numbers, device information, and private filenames) from the public versions and may add visible or invisible GuideMeet platform identifiers. The original uploaded file is kept in encrypted, access-restricted private storage and is not publicly accessible.
Public information may:
- appear in GuideMeet search, destination, category and profile pages;
- be indexed or cached by search engines;
- be shared through social networks or messaging services;
- appear in previews and GuideMeet promotional material; and
- be viewed, copied or reshared outside GuideMeet and outside your country.
Private Traveler details, private GuideMeet Messages, unpublished verification documents, billing information, Referral-consent records and private dashboard information are not intended to be public. Removing public content from GuideMeet does not guarantee immediate removal from third-party caches, search engines or copies previously shared by others.
9. How We Disclose Information
We may disclose information in the following circumstances.
9.1 Between Travelers and Guides
When a Traveler contacts a Guide, GuideMeet discloses the information reasonably necessary for the Inquiry or communication, which may include the Traveler’s displayed name, profile details and message content. Additional information relating to a Consultation Request or Service Request is shared only as needed to operate that request and subject to any feature-specific notice. Users receiving personal information must use it only for the relevant interaction, request or lawful arrangement.
9.2 GuideReferrals—affirmative consent
If a Guide proposes referring a Traveler to another approved, connected Guide, GuideMeet will show the Traveler:
- the recommended Guide;
- the categories of information proposed for sharing.
No ReferralInquiry is created and no Traveler name, contact details, message history or other identifying information is disclosed to the recommended Guide unless the Traveler affirmatively consents. If the Traveler declines or does not respond, the recommended Guide will not receive that information. A Traveler may withdraw consent for future disclosure, but withdrawal does not reverse information already lawfully shared before withdrawal.
9.3 Guide collaboration
Approved, connected Guides may exchange professional information and collaboration proposals through eligible Guide Network features. Traveler information may be shared only through the approved Referral process or another lawful, authorized process.
9.4 Service providers
We may use providers for:
- cloud hosting and databases;
- security and authentication;
- email and notifications;
- customer support;
- analytics and performance monitoring;
- search, maps, video and content delivery;
- verification and fraud prevention;
- AI-assisted features;
- moderation tools; and
- payment processing.
Providers may process information for GuideMeet under contractual restrictions and instructions, subject to their own independent legal obligations where applicable.
9.5 Payment providers
We disclose transaction-related information to Stripe and supported Nepal or international payment providers to process payments, authenticate users, prevent fraud, handle refunds and disputes, and comply with financial rules.
9.6 Professional advisers and authorities
We may disclose information to lawyers, auditors, insurers, accountants, regulators, law-enforcement bodies, courts or other authorities where reasonably necessary or legally required.
9.7 Safety, rights and enforcement
We may disclose information where we reasonably believe it is necessary to protect a person’s safety, investigate fraud or abuse, enforce our agreements, respond to legal process, or protect GuideMeet, our users or others.
9.8 Business transfers
Information may be disclosed or transferred as part of a proposed or completed financing, restructuring, merger, acquisition, sale of assets or similar corporate transaction, subject to appropriate confidentiality and legal safeguards.
9.9 With your direction or consent
We may disclose information when you ask us to, authorize an integration, choose a public setting or otherwise provide valid consent.
10. Messaging Privacy and Internal Access
GuideMeet Messages are private Platform communications, but they should not be assumed to be end-to-end encrypted unless GuideMeet expressly states that an applicable feature provides end-to-end encryption. GuideMeet will seek to apply:
- role-based access;
- access limited to authorized personnel;
- reason-based access for support, safety, fraud, enforcement or law;
- logging or auditing of sensitive administrative access where appropriate; and
- internal confidentiality and security requirements.
We may preserve relevant messages where necessary for user support, safety review, fraud investigation, disputes, legal compliance or enforcement. Users should not use GuideMeet Messages to transmit complete payment-card information, passwords, unnecessary identification documents or medical records.
11. AI-Assisted Features
GuideMeet may use AI-assisted tools for:
- profile-writing suggestions;
- Guide Insight assistance;
- matching support;
- translation;
- reply suggestions;
- moderation summaries;
- fraud indicators;
- verification support;
- SEO and content support; and
- administrative review.
AI output can be incomplete or inaccurate. Human users and authorized personnel remain responsible for material published claims and significant decisions. Where reasonably possible, GuideMeet will minimize personal information sent to AI providers and apply access, contractual and retention controls. Private messages may be processed by an AI provider only when an enabled translation, reply, moderation, safety or similar feature requires it and the processing is disclosed through this Policy or the feature.
Private messages, verification documents and payment information will not be used for general AI-model training unless GuideMeet provides a separate lawful notice and any required choice or consent. GuideMeet does not use AI to create fabricated experience, licences, identities, credentials or reviews, and does not claim that AI guarantees identity, licensing, competence or safety. Where applicable law provides rights concerning decisions based solely on automated processing that produce legal or similarly significant effects, you may request information, object or seek human review. GuideMeet does not currently intend to make such decisions solely through AI without appropriate safeguards.
12. Sale, Sharing and Targeted Advertising
GuideMeet does not currently sell personal information for monetary consideration. GuideMeet does not currently share personal information for cross-context behavioural advertising or use sensitive personal information to infer characteristics for advertising. Featured Guide, Destination Expert and paid Guide visibility are internal Platform ranking or display features and do not by themselves involve the sale of personal information or cross-context behavioural advertising.
If these practices change, GuideMeet will update this Policy and provide legally required notice, consent or opt-out controls before applying the change where required. Where applicable law requires GuideMeet to recognize an eligible Global Privacy Control or similar opt-out preference signal, we will honor that signal for sale, sharing or targeted advertising.
13. Cookies and Similar Technologies
GuideMeet and authorized providers may use cookies, local storage, pixels, tags, software development kits and similar technologies for:
- authentication and essential Platform functions;
- security, fraud prevention and consent records;
- preferences and selected filters;
- performance, diagnostics and analytics;
- payment checkout and authentication; and
- marketing or attribution where enabled and permitted.
Where required, non-essential technologies will remain disabled until you provide affirmative consent. You may manage available choices through the cookie banner or settings and your browser. See the Cookie Policy for more information.
14. International Data Transfers
GuideMeet is based in Nepal and is designed to serve users in multiple countries. Your information may be processed in Nepal and in countries where users and authorized service providers operate. These countries may have data-protection laws different from those where you live. Where applicable law requires a transfer mechanism or additional safeguard, GuideMeet will use appropriate measures such as:
- contractual protections;
- approved standard contractual clauses;
- adequacy mechanisms;
- consent where legally valid;
- data minimization;
- transfer assessments; and
- technical and organizational security controls.
Public Guide information is intentionally made available globally and may be accessed from any country.
15. Data Retention
GuideMeet retains personal information only for as long as reasonably necessary for the purposes described in this Policy, including providing and securing the Platform, resolving disputes and satisfying legal, tax, accounting and enforcement obligations. Our general retention approach is:
| Information | General retention approach |
|---|---|
| Active account and Guide Profile information | While the account is active and for an approved period after closure |
| Public Guide content | Until removed, unpublished or no longer needed, subject to caching, backups and legal requirements |
| Original Image Uploads | Kept in encrypted, access-restricted storage; removed when the public image is deleted unless preserved for an active report, dispute, legal hold or security investigation |
| GuideMeet Messages and Inquiries | For the life of the account and an approved period afterward, adjusted for safety, support, fraud and dispute needs |
| Connection and Referral consent records | For as long as needed to operate the connection or Referral and demonstrate the consent decision |
| Verification information | While verification is active and afterward as needed to prevent fraud, document decisions and satisfy legal obligations |
| Subscription, invoice, payment, refund and tax records | For the period required by applicable financial, accounting and tax laws |
| Reviews and responses | While published and afterward where needed for moderation, disputes and integrity |
| Support, safety, reports and enforcement records | As needed to resolve the matter, prevent repeated abuse and establish or defend legal claims |
| Security and technical logs | For a limited period appropriate to security, diagnostics and fraud prevention |
| Cookie and privacy consent records | For the period necessary to demonstrate and respect the applicable choice |
| Marketing preferences | Until opt-out, plus a suppression record needed to honor the opt-out |
| AI prompts and outputs | According to the approved feature and provider retention configuration |
Information may remain temporarily in encrypted or restricted backups after deletion from active systems. We may retain de-identified information that no longer reasonably identifies an individual. GuideMeet will finalize and approve specific internal retention periods before launch and review them periodically.
16. Account Closure and Deletion
You may request account closure through available settings or support. After closure:
- a public Guide Profile may be unpublished;
- paid features end according to the subscription and cancellation rules;
- public Guide Insights or other content may be removed, retained at the user’s direction where available, or preserved where lawfully necessary;
- eligible reviews and Guide responses may remain to preserve Platform integrity, subject to privacy and moderation rules;
- messages, verification records, billing records, consent records and enforcement records may be retained under the schedule described above; and
- third-party search caches or previously shared copies may remain outside GuideMeet’s control.
A deletion request does not require us to delete information that law permits or requires us to retain for security, fraud prevention, accounting, disputes, freedom of expression, legal claims or other lawful purposes. Deleting an account does not automatically cancel a paid Guide subscription unless the Platform confirms cancellation.
17. Data Security
GuideMeet uses reasonable administrative, technical and organizational measures designed to protect personal information, which may include:
- authentication safeguards;
- encryption in transit and at rest where appropriate;
- role-based access controls;
- restricted administrative access;
- logging and monitoring;
- backups and recovery controls;
- provider and contractual safeguards; and
- incident-response procedures.
No online service can guarantee absolute security. Users are responsible for using strong, unique passwords, protecting their devices and promptly reporting suspected misuse.
18. Personal-Data Incidents
If GuideMeet becomes aware of a suspected personal-data incident, we will investigate, contain and assess it according to our incident-response procedures. Where applicable law requires notification, GuideMeet will notify affected individuals, regulators or other authorities within the legally required period and provide the information required by law.
19. Your Privacy Rights and Choices
Depending on where you live and applicable law, you may have the right to:
- know whether and how we process your personal information;
- access or receive a copy of it;
- correct inaccurate or incomplete information;
- request deletion;
- restrict or object to certain processing;
- withdraw consent;
- receive certain information in a portable format;
- opt out of direct marketing;
- opt out of sale, sharing or targeted advertising where applicable;
- limit certain uses of sensitive personal information where applicable;
- request information or human review concerning eligible automated decisions;
- appeal refusal of a request where applicable; and
- complain to a competent privacy or data-protection authority.
These rights are not absolute. GuideMeet may retain or continue processing information where permitted or required for security, fraud prevention, legal compliance, freedom of expression, contracts, disputes or legal claims. For users in Nepal, available statutory rights and remedies are determined by the Constitution of Nepal, the Privacy Act and other applicable Nepali law. GuideMeet may also provide the broader account controls and privacy-request options described in this Policy, even where a particular option is not expressly required in every circumstance.
19.1 Submitting a request
Email legal@guidemeet.com with the subject “Privacy Request” and describe your request. You may also use account settings where a self-service option is available. We may request information reasonably necessary to verify your identity, account and authority. Authorized agents may submit requests where permitted, but we may require proof of authorization and verification of the user. GuideMeet will respond within the period required by applicable law.
19.2 Appeals
Where applicable, you may appeal a decision by replying to GuideMeet’s response with the subject “Privacy Appeal.” GuideMeet will not discriminate against you for exercising a privacy right.
20. Referral Consent Choices
A Traveler may accept, decline or ignore a proposed Referral. No identifying information is shared with the recommended Guide unless the Traveler affirmatively accepts the Referral. A Traveler may withdraw Referral consent for future disclosure through available settings or by contacting legal@guidemeet.com. Withdrawal does not reverse information already lawfully disclosed before withdrawal. GuideMeet will retain an appropriate record of the Referral request and consent decision to operate the feature, protect users and demonstrate compliance.
21. Marketing and Notifications
You may unsubscribe from promotional email using the link in the message or through available settings. GuideMeet may still send non-promotional messages needed for:
- account security;
- GuideMeet Messages and Inquiries;
- billing and subscription administration;
- Consultation or Service updates where enabled;
- legal and policy notices;
- moderation or safety matters; and
- requested support.
GuideMeet may retain a suppression record to ensure that an opt-out continues to be honored.
22. Information About Other People
If you provide information about another person—such as a Traveler, collaborator, group member, Referral or emergency contact—you must have lawful authority to do so and provide any required notice or obtain any required consent. Guides must not upload Traveler identification, health information, private contact details, photographs or itinerary information to public areas without lawful permission.
23. Children
GuideMeet accounts are intended only for people aged 18 or older. We do not knowingly provide accounts to or intentionally collect personal information from anyone under 18 for account use.
If you believe a person under 18 has provided personal information contrary to this Policy, contact legal@guidemeet.com so we can investigate and take appropriate action. Adults arranging travel involving minors remain responsible for parental or guardian authority and for sharing only information reasonably necessary for the arrangement. Information about minors must not be posted publicly without lawful permission.
24. Regional Privacy Disclosures and Country Activation
GuideMeet applies this Policy globally, but additional obligations may apply under the law of Nepal or the place where you live. GuideMeet’s intended country coverage may include Nepal, Sri Lanka, Indonesia, Vietnam, the United States, Malaysia, Thailand, Bhutan, Japan, India and Tibet/China. Listing a country or destination does not mean every Platform, payment or data-processing feature is legally or technically available there. Before activating regulated features in a country, GuideMeet may implement supplemental notices, consent methods, transfer safeguards, representatives, grievance contacts, retention rules or request procedures required for that jurisdiction.
24.1 Nepal
GuideMeet is registered in Nepal. This Policy is designed to reflect applicable Nepali privacy, electronic-transactions and consumer-protection requirements, including, as relevant:
- The Constitution of Nepal, 2072 (2015), Article 28 , which recognizes privacy as a fundamental right and protects the privacy of a person, residence, property, documents, data, correspondence and matters relating to character, except in accordance with law;
- The Privacy Act, 2075 (2018) , Nepal’s principal privacy statute, which addresses the confidentiality of personal data and electronic correspondence and contains requirements concerning collection, notice, consent, purpose-limited use, protection, use and disclosure of personal information;
- The Electronic Transactions Act, 2063 (2008) , which governs electronic records and transactions and contains provisions relevant to secure electronic activity and computer-related unauthorized access or misuse; and
- The Consumer Protection Act, 2075 (2018) , which supports transparency and consumer rights in the offering, advertising and delivery of goods and services and provides remedies concerning unfair trade or business practices.
GuideMeet will also comply with other applicable Nepali laws, rules, regulations and lawful requirements. These laws apply according to their terms and scope and may not provide identical rights or obligations in every circumstance. Where this Policy gives users a broader privacy choice than the minimum required by applicable law, GuideMeet intends to follow the commitment stated in this Policy, subject to lawful exceptions.
24.2 Sri Lanka
Users in Sri Lanka may have rights under Sri Lanka’s Personal Data Protection Act and related rules. GuideMeet will implement any required local procedures before actively offering regulated processing in Sri Lanka.
24.3 India
Users in India may have rights under the Digital Personal Data Protection Act and applicable rules. GuideMeet will publish any required grievance contact, consent notice, request method or India-specific intermediary information before the relevant obligations apply.
24.4 Indonesia, Thailand, Malaysia and Vietnam
Users in these countries may have rights under their respective personal-data, electronic-platform, cybersecurity and consumer-protection frameworks. GuideMeet may provide supplemental notices, local contacts, breach procedures or transfer safeguards before activating relevant features.
24.5 Japan
Users in Japan may have rights under the Act on the Protection of Personal Information. GuideMeet will provide any additional disclosure or cross-border transfer information required before actively offering relevant regulated processing.
24.6 United States
Depending on state law and applicable thresholds, United States residents may have additional rights to know, access, correct, delete or obtain personal information and to opt out of sale, sharing, targeted advertising or certain profiling. GuideMeet does not currently sell personal information or share it for cross-context behavioural advertising.
24.7 Bhutan and Tibet/China
GuideMeet will complete specific legal and operational review before actively offering regulated features in Bhutan or Tibet/China, including applicable privacy, cybersecurity, content, hosting and cross-border transfer requirements.
24.8 Other jurisdictions
Where another regional rule applies and conflicts with this Policy, the legally required rule controls. If applicable law requires a local representative, data-protection officer, grievance officer or similar contact, GuideMeet will publish the relevant details before processing that triggers the requirement.
25. Changes to This Policy
GuideMeet may update this Policy to reflect changes in the Platform, providers, technology, laws or data practices. We will publish the updated version and revise the “Last updated” date. If a change materially affects privacy rights or how information is used, we will provide reasonable additional notice and obtain consent where required.
